1. Who we are
BusinessVault, trading as BusinessVault, operates BusinessVault and is the data controller for the personal information described here. Contact us at support@businessvault.co.za with any privacy question or request.
2. What we collect and why
- Account details (name, email, password credentials, business name and profile details) — to create and secure your account and provide the service. Legal basis: performance of our contract with you.
- Content you create or upload (prompts, generated text, images and video, saved items, uploaded files) — to deliver the AI tools and store your creations. Legal basis: contract.
- Purchase and entitlement records (which kits and memberships you hold, order references, referral and affiliate activity) — to give you access and run the referral programme. Legal basis: contract and legal obligation.
- Messages and support requests — to answer you and to moderate the platform. Legal basis: contract and legitimate interests.
- Usage and device data (pages visited, feature usage, IP address, browser and device identifiers, log data) — for security, fraud prevention, troubleshooting and improving the product. Legal basis: legitimate interests.
- Marketing preferences (email opt-ins from lead magnets and newsletters) — to send you resources and updates. Legal basis: consent, which you can withdraw at any time.
3. Who we share it with
- Service providers / subprocessors — hosting, database and storage, email delivery, AI model providers that process your prompts, and analytics tooling.
- Paddle, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance and invoicing.
- Professional advisers such as accountants and lawyers, where needed.
- Authorities, where we are legally required to disclose information.
We do not sell your personal information.
4. International transfers
Our providers may process data outside South Africa, including in the EEA, the UK and the United States. Where that happens we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.
5. How long we keep it
We keep account, content and entitlement data for as long as your account is active, and for a reasonable period afterwards to handle disputes and support. Transaction and tax records are kept for the period required by law (generally five years). After that we delete or anonymise the data.
6. Your rights
You may request access to your personal information, correction or deletion, restriction of or objection to processing, and a portable copy. You can withdraw consent to marketing at any time, and you may lodge a complaint with the Information Regulator (South Africa) or your local supervisory authority. Email support@businessvault.co.za and we will respond within one month.
7. Security
We apply appropriate technical and organisational measures, including encryption in transit, row-level access controls on our database, private storage for purchased files and restricted administrative access.
8. Cookies and similar technologies
We use essential cookies and local storage to keep you signed in and to remember your preferences, and our payment provider sets cookies needed to complete checkout. Where we use analytics cookies, you can manage them in your browser settings; blocking essential cookies will prevent sign-in and checkout from working.
